Ingestion needs to preserve useful structure and identify the source and version of each document. Chunk boundaries, metadata and update schedules affect what the system can find. Obsolete material should be replaced or removed so an answer does not silently rely on an outdated policy.
Retrieve within the user’s permissions
Search must apply access controls before private information reaches the model. Retrieval quality involves both finding relevant passages and excluding misleading ones. Source references help users inspect the supporting material, but a citation alone does not prove that an answer is correct.
Evaluate answers and missing evidence
Use representative questions with expected sources to assess retrieval and response quality separately. Include conflicting documents and questions with no answer in the knowledge base. The product should state when evidence is insufficient and offer a useful next step instead of inventing a conclusion.
